Position for Front Office/ Receptionist

Full-time, Permanent Position available immediately

Ballymaloe is a Country House, situated in East Cork. The restaurant and guest house has been open for 57 years and has built itself a reliable reputation with a steady stream of regular guests. The ‘front of office’ team is very much the ‘Face of Ballymaloe’. They are the first-person visitors or guests will meet on arrival, and for this reason the role/job is an extremely important one.

Main Duties Front of House

  • Managing daily arrivals/ upcoming reservations & the front desk
  • Keeping all internal booking systems up to date: Tablepath / Pixel / iHotel
  • Communicating and keeping all departments up to date with weekly numbers (Breakfast / Lunch and Dinner, plus all events)  
  • To communicate all our services, facilities and local attractions to guests as required
  • To ensure that the front of house / reception area is always clean and tidy
  • To deal with customers in a professional and courteous manner
  • Assisting individuals with queries throughout all departments at Ballymaloe House
  • Forecasting the day ahead; confirming lunch and dinner numbers, noting, and communicating customer requests
  • Check-ins, check-outs, sales, voucher sales and taking all payments
  • Day to day duties; familiarity with the seasonal rates, special offers and packages, currency exchange, managing emails, and phone queries
  • Managing the daily cash-up
  • Answering, screening, and forwarding all incoming phone calls
  • Liaise with Ballymaloe Cookery School, Shop and Café, and all Ballymaloe associated businesses
  • To be aware of all first aid and fire procedures. Be familiar with onsite firefighting equipment
  • This role at the front of the house, is a busy one, an ability to multi-task is essential
  • Versatility and flexibility are also essential in this job. The successful applicant will be required to assist other departments and work weekends and evening shifts

Ballymaloe House is a country house run by the Allen family. Still to this day it is very much a family run business. We are situated on a farm in the countryside and our philosophy is very much based on simplicity and the idea that less is more. Ballymaloe is very different and is run very differently to a hotel and this is almost the most important thing to understand. Guests are coming to stay in a house in the country with, the experience being more personal & unique.

Minimum of 1 years’ hotel reception experience desirable.

Assistant Sommelier - Full Time

The successful candidate will be a trained and knowledgeable wine professional who will be responsible for every aspect of the wine service including management of the wine list and wine service.

Job Functions

  • Manage the wine service in the bar and dining rooms.
  • Using your knowledge of wine, you will help customers with their selection.
  • Assist in choosing the wines stocked by Ballymaloe House.
  • Assist in managing stock levels and storage of wines.

Position requirements

  • Must be eligible to work in Ireland.
  • Minimum of at least 1 year experience within a similar establishment or experience as a Sommelier or similar role.
  • Ability to create tasteful food and wine pairings.
  • Extensive knowledge of different wines and which regions produce each type.
  • Knowledge of locations of vineyards and wineries where products are sourced.
  • Understanding of the winemaking process.
  • Good communication skills.

Human Resources Executive

Reporting To: General Manager


  • Develop work culture in conjunction with GM and House Manager
  • Create core value and implement proper structure within the team
  • Prepare paperwork for new starters including letters of offer, contracts, job
    descriptions, medical carts & staff handbook.
  • Process payroll on Monday through Alkimii
  • Complete weekly payroll report.
  • Prepare holiday balance report weekly & monthly.
  • Prepare holiday accrual forecast report weekly & BH accrual when required.
  • Prepare full Passover report for accounts weekly.
  • Set new starters up on Alkimii.
  • Process leavers and liaise with staff re holidays & hours owed.
  • Issue payslips & answer payroll & tax queries from staff.
  • Deal with employee queries on breaks, clocks, issues, sickness etc.
  • Complete revenue paperwork for staff, forms for illness benefit, single parent etc
  • Prepare paperwork for PPS & bank accounts for new starters.
  • Update & sign off on annual leave for staff through Alkimii.
  • Prepare rosters for admin weekly & chase other departments & input rosters where
  • Approve timecards weekly for some departments & double check all for anomalies,
    leavers, back pay etc.
  • Issue training links - and monitor the progress by all staff.
  • Attend meetings - HOD, H&S, ECCM etc, do minutes where required.
  • Liaise with HODs on recruitment requirements.
  • Place ads for job vacancies, filter applications, issuing rejection letters and circulate
    potentials to HODs.
  • Order uniforms.
  • Meet with HODs on employee issues & issue disciplinary letters and conduct
    disciplinaries where required.
  • Process incident reports.
  • Monitor document storage in Alkimii and ensure we are compliant.


  • Your working week will be 24 hours flexible.

Management Structure:

  • You will report directly to the General Manager.
