Front Desk Executive

Full-time, Permanent Position available immediately

Ballymaloe is a Country House, situated in East Cork. The restaurant and guest house has been open for 57 years and has built itself a reliable reputation with a steady stream of regular guests. The ‘front of office’ team is very much the ‘Face of Ballymaloe’. They are the first-person visitors or guests will meet on arrival, and for this reason the role/job is an extremely important one.

Main Duties Front of House

  • Managing daily arrivals/ upcoming reservations & the front desk
  • Keeping all internal booking systems up to date: Tablepath / Pixel / iHotel
  • Communicating and keeping all departments up to date with weekly numbers (Breakfast / Lunch and Dinner, plus all events)  
  • To communicate all our services, facilities and local attractions to guests as required
  • To ensure that the front of house / reception area is always clean and tidy
  • To deal with customers in a professional and courteous manner
  • Assisting individuals with queries throughout all departments at Ballymaloe House
  • Forecasting the day ahead; confirming lunch and dinner numbers, noting, and communicating customer requests
  • Check-ins, check-outs, sales, voucher sales and taking all payments
  • Day to day duties; familiarity with the seasonal rates, special offers and packages, currency exchange, managing emails, and phone queries
  • Managing the daily cash-up
  • Answering, screening, and forwarding all incoming phone calls
  • Liaise with Ballymaloe Cookery School, Shop and Café, and all Ballymaloe associated businesses
  • To be aware of all first aid and fire procedures. Be familiar with onsite firefighting equipment
  • This role at the front of the house, is a busy one, an ability to multi-task is essential
  • Versatility and flexibility are also essential in this job. The successful applicant will be required to assist other departments and work weekends and evening shifts

Ballymaloe House is a country house run by the Allen family. Still to this day it is very much a family run business. We are situated on a farm in the countryside and our philosophy is very much based on simplicity and the idea that less is more. Ballymaloe is very different and is run very differently to a hotel and this is almost the most important thing to understand. Guests are coming to stay in a house in the country with, the experience being more personal & unique.

Minimum of 1 years’ hotel reception experience desirable.

Night Porter

Ballymaloe is a Country House, situated in East Cork. The restaurant has been open for 57 years and over this time it has built for itself a reliable reputation with a steady stream of regular guests both coming to the restaurant and staying in our accommodation. The ‘front office’ members of staff are very much the ‘face of Ballymaloe’.

Main Duties Front of House

  • To work closely with Reception and carry out any request that they may have in relation to customer needs.
  • To ensure all departmental S.O.P’s, Hotel Policies and Procedures are adhered to.
  • Monitor the main door at night.
  • To ensure all corridors are clear from trays and debris, collecting any breakfast cards for room service in the morning.
  • To ensure the bar closes at the appropriate time and that’s Guests are escorted if need be up to their bedrooms.
  • To operate floor polisher and have working knowledge of computers
  • To provide room service to Guests in accordance with Hotel Policies.
  • To clean and ensure the lobby and surround areas where Guest are, are left clean and tidy
  • To ensure back of house areas, including kitchen area where night porter prepare food is left clean.
  • To answer the calls on Reception
  • Write any Health/safety or maintenance faults in the book at Reception
  • To be vigilant at all times and report any suspicious security matters or intruders on the premises.
  • To carry out fire walks during your shift and sign logs. Remove blockages
  • To set-up rooms as directed by the Duty manager or assist other department with preparation for the following day.
  • To maintain open communication line with Staff & Guests
  • To be environmentally friendly and cost aware. To carry out additional duties as requested by the manager
  • Flexibility is essential for this role, weekends and evening shifts involved
  • Demonstrates a high level of professionalism in dealing with confidential information
  • Managing any cash up
  • Be aware of all first aid & fire procedures. Be familiar with firefighting equipment
